Munster Chess Union Data Policy
In carrying out our activities of promoting and organising chess in Munster we collect
limited data about our members and participants in our competitions. This document outlines
what data we collect and how we use it.
All entrants in MCU competitions are required to be members of the Irish Chess Union
(ICU).
Rating and Results Data
We collect competitors names, ICU identifiers, ratings and match results for all
competitors. These results are reported to the ICU for rating purposes by the ICU and
FIDE. They are also retained by the MCU as part of the historical records of our
competitions.
In the case of non ICU members we may require date of birth, email address, FIDE
registration number or similar data required by the ICU and FIDE for registration. We
do not retain this information.
We may also collect game scores for some competitions for publication on our website.
Contact Details
We do not collect or process contact details for individual competitors except as
required to organise tournaments. These details are not retained by the MCU. We do not
collect contact details for individual team members participating in our leagues.
We collect email addresses and phone numbers for team captains, committee members
and other similar roles required to carry out our activities.
These phone numbers are published on our website to provide contact points with
the organisation.
The email addresses are not published but hidden behind forwarders such as
division1@munsterchessunion.org which allows us to send an email to all team captains
and arbiters without access to individual email addresses.
Email addresses and phone numbers are updated as the holders of these roles are
changed.
Data Exchange
As outlined above players names, ICU codes and results are exchanged with the ICU
(and indirectly with FIDE) to facilitate the rating of players. Players ratings are
periodically updated from the ICU to maintain up to date player ratings.
Where disciplinary procedures have resulted in players MCU membership being
suspended or revoked this status may be communicated to organisers of chess
tournaments .
Financial Data
No financial information is accessed or collected by the MCU website in connection
with online payments for leagues or other competitions. All financial data is handled
by our payment processor (currently PayPal).
Data Retention
As outlined above only a limited amount of personal information (name, ICU membership
number and ICU rating) is recorded and retained as historical information.
Contact details are updated as the committee and other roles change. The old
details may be retained for a year in case issues arise.
